House Painting Contractor Snapshot — GoHighLevel snapshot

Painting is a quoting business. This snapshot answers the enquiry the moment it arrives, books the walkthrough, chases the estimate for as long as it takes, and comes back at the start of the next exterior season with the customer already warm.

SPEC-01 // WHAT IS INCLUDED

Thirteen channels, wired for painting & decorating

Every snapshot in the library lands the same thirteen things in the sub-account, and none of them is sold to you by the dozen. Nine of the thirteen are the system components; the other four are what those components run on. Here is each one in House Painting Contractor language, with the problem it solves, what changes, and how it pays for itself.

MANIFEST // WHAT LANDS IN THE ACCOUNT

Every snapshot in the library ships these thirteen. We do not publish a count against any of them, because a counted promise is a promise and the honest answer is "as many as the trade needs, wired and tested". The receptionist and the chatbot are the exception — there is one of each, which is the client’s own wording and ours.

  1. CH-01

    1 AI Receptionist

    Capture

    SYSTEM COMPONENT 01AI Receptionist

Painting enquiries arrive during the day from people at work, and the ones that go to voicemail book with somebody else. This answers, establishes interior or exterior and roughly how many rooms or which elevations, asks whether they are preparing to sell, and books the estimate visit. The sell question matters, because a homeowner on a deadline buys differently.

    • Establishes interior or exterior in the first question
    • Asks whether the house is going on the market
    • Takes room count or elevations before booking
    • Books the estimate visit inside the call
    THE FAULT
Painting enquiries arrive during the working day from homeowners who found a gap between meetings, and the estimator who could answer is up a ladder with a brush in one hand. The call that reaches voicemail books a walkthrough with somebody else.
    ONCE IT IS RUNNING
Answered on the first ring while the crew keeps working: interior or exterior, room count or which elevations, whether the house is going on the market, and the estimate walkthrough booked into the estimator's diary before the homeowner rings the next name on the list.
    THE RETURN
Thirty enquiries a week with eight landing while the owner is on site: recover three at a $3,200 average job and a twenty-five per cent close and that is roughly $2,400 a week of quoting opportunity that previously rang out.
  2. CH-02

    1 AI Chatbot

    Capture

    SYSTEM COMPONENT 03AI Chatbot

The questions that stop a painting enquiry are about the mess and the calendar: how long will we be in the house, do we have to move out, when could you start. This answers those on the site and by text, captures the room count and the surface condition, and books the estimate without anyone having to ring during working hours.

    • Answers the disruption and duration questions directly
    • Captures room count and surface condition
    • Books the estimate outside office hours
    • Colour-consultation requests routed separately
    THE FAULT
What stops a painting enquiry is never the colour. It is how many days strangers will be inside the house, whether the family has to move out, and when you could realistically start, and no homeowner rings a contractor to ask any of those.
    ONCE IT IS RUNNING
The same assistant handles disruption and duration questions on the site, by text and in Instagram, where the before-and-after photographs send people. It captures room count and surface condition, splits a colour consultation from a quote request, and books the walkthrough inside the conversation.
    THE RETURN
If the gallery pages pull fifty visitors a day and three per cent start a conversation, that is around ten a week who previously read and left. One of those becoming a signed interior repaint covers a month of the account on its own.

SUBSTRATE — NO COMPONENT OF ITS OWN

Not one of the nine, and not decoration either. This is part of what the nine run on: get it wrong and every component above it misbehaves in a way that is very hard to debug six weeks later.

    THE FAULT
The owner keeps the live jobs in their head and the quotes in a sent folder. Ask on a Wednesday which exterior estimates are still alive and the honest answer is a guess, which is how a $14,000 exterior sits untouched for a month.
    ONCE IT IS RUNNING
Boards that match how painting is actually sold: an interior board that moves in days, an exterior board carrying weather and seasonal price-hold stages, and a commercial board with its own site-visit, specification and invoicing stages because a facilities manager buys nothing like a homeowner.
    THE RETURN
Twenty-four open quotes at $3,200 is roughly $77,000 in the air. A board that makes the six untouched for a fortnight obvious on a Monday morning needs to rescue one job a month to be the cheapest thing in the account.

SUBSTRATE — NO COMPONENT OF ITS OWN

Not one of the nine, and not decoration either. This is part of what the nine run on: get it wrong and every component above it misbehaves in a way that is very hard to debug six weeks later.

    THE FAULT
Follow-up in a painting company is the owner meaning to ring back after the last walkthrough of the day. It happens once, and the homeowner comparing three estimates signs with the contractor who called twice and answered the question about disruption.
    ONCE IT IS RUNNING
The cadence runs without anyone remembering: quote out the same day, a text on day three, a live AI call at day eight where the second touch answers disruption rather than price, a seasonal price-hold at week four and a genuine last call at week eight.
    THE RETURN
Twenty-four open quotes, four touches each across eight weeks, four minutes a touch is six hours of the owner's week. Price those hours at what an estimator hour is worth, then add the jobs that only close because the day-eight call happened.
  5. CH-05

Appointment reminders, confirmations and no-show recovery

    Booking

    SYSTEM COMPONENT 05Smart Appointment System

The estimate visit is the whole sale, and painting no-shows cluster because the homeowner forgot they booked it three weeks ago. The confirmation states the window and asks that the rooms be accessible. Reminders at twenty-four hours, an hour and fifteen minutes, and the recovery call goes out inside the hour rather than leaving the estimator with a wasted morning.

    • Confirmation asks for the rooms to be accessible
    • Day-before, hour-before and a fifteen-minute nudge
    • Recovery call inside the hour after a missed estimate
    • One-tap reschedule, which saves the second visit
    THE FAULT
Walkthroughs get booked two and three weeks ahead, which is long enough for a homeowner to forget entirely. The estimator discovers this by standing on a doorstep at nine in the morning holding a tape measure, having driven across town for nothing.
    ONCE IT IS RUNNING
The booking confirmation names the window and asks that the rooms or the elevation are accessible, with reminders at twenty-four hours, one hour and fifteen minutes. A missed walkthrough fires a recovery call inside the hour, targeting seventy per cent recovery, and offers a one-tap reschedule.
    THE RETURN
Eighteen walkthroughs a week with three unattended is most of a morning gone. Recover two at a twenty-five per cent close on a $3,200 job and you are back roughly $1,600 a week, before counting the second visit you no longer have to drive.

SUBSTRATE — NO COMPONENT OF ITS OWN

Not one of the nine, and not decoration either. This is part of what the nine run on: get it wrong and every component above it misbehaves in a way that is very hard to debug six weeks later.

    THE FAULT
The landlord turning over a rental wants a price per unit and a date. The couple planning next spring's exterior want reassurance and a conversation about colour. One free-quote button asks both of them to explain themselves in a text box, and neither bothers.
    ONCE IT IS RUNNING
Separate paths: a fast interior quote path for the pre-sale deadline buyer, an exterior path that collects elevations and can hold a seasonal rate, a cabinet and specialist finish path, and a landlord turnaround path priced by unit rather than by room.
    THE RETURN
If twenty landlord enquiries a year currently drown in the general form and one in five becomes a repeat account worth three turnovers a season, a path built for that single buyer earns more in a year than the whole snapshot costs.
  7. CH-07

    AI Studio website

    Capture

    SYSTEM COMPONENT 04Professional Website

A site that sells on evidence: before-and-after galleries organised by room and by exterior type, service-area pages for the neighbourhoods you actually work in, and separate paths for interior, exterior and cabinet work because those buyers search differently. The estimate form asks for room count and surface condition before contact details.

    • Galleries organised by room and elevation, not by date
    • Interior, exterior and cabinet work on separate paths
    • Neighbourhood-level service pages
    • Estimate form takes room count and condition first
    THE FAULT
Most painting sites show eight photographs in upload order, name no neighbourhoods, and refuse to put a number on anything, so a homeowner comparing four contractors has nothing to compare on except which of you answered the phone that afternoon.
    ONCE IT IS RUNNING
Galleries organised by room and by elevation rather than by date, interior, exterior, cabinet and commercial kept on separate paths, neighbourhood-level service pages, honest price bands, and an estimate form that asks for room count and surface condition before it asks for an email.
    THE RETURN
Neighbourhood pages are the demand you do not pay for twice. If one page brings two exterior enquiries a month at a twenty-five per cent close and a $4,500 exterior average, that single page carries a meaningful share of the account every quarter.
  8. CH-08

    Nurture campaign

    Nurture

    SYSTEM COMPONENT 02AI Outbound Caller

Painting quotes are compared against two others and decided three weeks later. This calls at day six, day sixteen and day thirty-two, and the second call carries the scheduling angle rather than the price one — because the homeowner who has not decided is usually worrying about disruption, not cost. The voicemail names the rooms quoted.

    • Quotes worked for a month, on a six, sixteen, thirty-two rhythm
    • Second touch answers disruption, not price
    • Voicemail names the rooms or elevations quoted
    • Stops immediately on a booking or a decline

    SYSTEM COMPONENT 08Database Reactivation

The list is full of homeowners who were quoted for the whole house and painted one room themselves. Six months later the sequence goes out on the rooms that were quoted and not done, with the original scope attached, offering the remainder at the quoted rate rather than a fresh discount.

    • Six quiet months and the sequence begins
    • Works the rooms quoted but never painted
    • Honours the original scope instead of discounting
    • Any answer returns them to the estimator's list
    THE FAULT
Somebody was quoted for four rooms in February, painted the hallway themselves and went quiet. Four seasons on, the south-facing elevation you quoted at the same time is genuinely due, and nobody from your company has been in touch since.
    ONCE IT IS RUNNING
Stalled quotes are worked for eight weeks across email, text and a live call with the original scope attached and the quoted rate honoured rather than discounted. Homeowners silent for six months are approached about the rooms that were quoted and never painted.
    THE RETURN
A list of five hundred past quotes, an offer on the rooms that were quoted and left, and one per cent booking at $3,200 is five jobs from a campaign that costs the sending. Substitute your own lost-quote count and your own average.
  9. CH-09

    Review automation

    Proof

    SYSTEM COMPONENT 06Review Harvesting

Not the last coat — the final walkthrough. The request goes two hours after it, because a painting job is judged on the snag list rather than the paint. Once the homeowner has walked the rooms and agreed it is finished, the satisfaction question goes out and a good answer gets the Google link while the house still smells new.

    • Fires after the final walkthrough, not the last coat
    • Satisfaction question first, public link second
    • A single tap to Google or to Facebook
    • Snag complaints route to the owner privately

    SYSTEM COMPONENT 07Review Automation

Painting is a once-every-seven-years purchase, so the profile has to be built from a small number of jobs. The cadence follows up twice rather than once, asks for photographs where the customer is enthusiastic, rotates platforms, and answers every review — because with fifteen jobs a month the response rate matters more than the ask volume.

    • Follows up twice, because job volume is low
    • Asks for photographs where the customer is keen
    • Platform rotation so one profile does not carry everything
    • Target: 5–10 reviews a month for an active crew
    THE FAULT
A painting company might finish fifteen jobs a month, so the profile is built from a small number of homeowners. The ask usually goes out the day the last coat dries, before the snag list is walked and while the customer is still finding tape residue.
    ONCE IT IS RUNNING
The trigger waits for the final walkthrough, because a painting job is judged on the snag list rather than the paint. The satisfaction question runs first, photographs are requested where the homeowner is enthusiastic, and platform rotation stops one profile carrying everything.
    THE RETURN
Five to ten a month from a low job count means asking twice and following up on a second channel. Against what you currently pay for a painting lead, a profile a homeowner trusts changes the conversion on traffic you have already bought.
  10. CH-10

    Seasonal automation

    Retention

    SYSTEM COMPONENT 09Lifetime Nurture Campaigns

Exterior paint has a service life and interiors have a fashion cycle, and both are reasons to be in touch that are not a discount. Reminders go out on the exterior schedule, a spring message opens the booking calendar before the good weather is fully booked, and the referral prompt runs monthly because a freshly painted house is the most visible advertisement on the street.

    • Exterior repaint reminders on the service-life schedule
    • Spring message before the calendar fills
    • Monthly referral prompt, aimed at the street
    • Anniversary touch on the job, not on the contact record
    THE FAULT
The weeks between the last frost and the school holidays are when a painting company earns most of its exterior money, and they arrive with nothing written against last year's lost quotes. The calendar then fills with whoever happened to book first.
    ONCE IT IS RUNNING
A spring message opens the exterior book before the calendar fills, repaint reminders fire on the service life of the paint rather than a contact anniversary, interiors get an autumn pre-holiday nudge, and the referral prompt runs monthly at a street that can see the work.
    THE RETURN
Four hundred past customers, a spring exterior message, two per cent booking at a $4,500 exterior average is eight jobs from a sequence written in January. Your own list size and exterior ticket will move that considerably in either direction.

SUBSTRATE — NO COMPONENT OF ITS OWN

Not one of the nine, and not decoration either. This is part of what the nine run on: get it wrong and every component above it misbehaves in a way that is very hard to debug six weeks later.

    THE FAULT
Paint prices move in February and suddenly the deposit percentage in the contract email, the quote validity in the follow-up and the rate on the booking page disagree with one another. Nobody notices until a homeowner quotes the old figure back at you.
    ONCE IT IS RUNNING
Season start and end months, deposit percentage, quote validity period, the paint brand you specify, workmanship warranty length, service radius and the price-hold window sit at the top of the account, and every email, text, page and workflow reads them from there.
    THE RETURN
When the supplier reprices you edit one field instead of hunting through a season of templates. An agency running this across four painting clients gets most of a working day back each time a repricing lands.

SUBSTRATE — NO COMPONENT OF ITS OWN

Not one of the nine, and not decoration either. This is part of what the nine run on: get it wrong and every component above it misbehaves in a way that is very hard to debug six weeks later.

    THE FAULT
Nobody records which elevations were quoted, what the substrate was, or the colour codes mixed on the job. Seven years later the same house is due and the estimator starts from nothing, on a property the company has already painted once.
    ONCE IT IS RUNNING
Interior or exterior, room count and ceiling height, the elevation list, surface condition, substrate, previous paint type and date, colour codes used, deposit status and whether the property predates 1978 are structured fields, filled at the walkthrough and reused at the repaint.
    THE RETURN
Knowing the colour codes on a repeat customer saves a site visit before a touch-up quote. More usefully, a list of every exterior painted six or more years ago is a campaign you already own. Model it on your own job history.

SUBSTRATE — NO COMPONENT OF ITS OWN

Not one of the nine, and not decoration either. This is part of what the nine run on: get it wrong and every component above it misbehaves in a way that is very hard to debug six weeks later.

    THE FAULT
A generic contact form sends an estimator to a house knowing nothing, so the first ten minutes of the walkthrough go on questions that should have been answered online, and the quote goes out two days later rather than that evening.
    ONCE IT IS RUNNING
The quote request asks for room count, elevations and surface condition and collects photographs before it asks for an email address, the colour consultation request routes separately, and a post-walkthrough snag survey closes the job properly and decides whether a review ask is safe.
    THE RETURN
Photographs and a room count in advance take roughly fifteen minutes off each walkthrough. At eighteen walkthroughs a week that is four hours back, and the estimates go out the same evening, which is while a homeowner comparing three of them is still paying attention.

Delivered within 24 business hours of purchase confirmation, and installed by us at no charge, with 12 hours of dedicated installation support, to be used within 10 days of purchase. SPEC-03 // WHY THIS EXISTS

What this actually fixes

A painting company lives and dies on the ratio between quotes given and quotes won, and the biggest leak is almost never the price — it is the eleven days between the estimate landing and anyone following it up.

The snapshot closes that gap. Enquiries are answered instantly on whichever channel they arrive, qualified for interior or exterior, scope and timing, and booked into the estimator's calendar with photos already collected.

Then the follow-up runs properly: a same-day email with the quote, an SMS on day three, an AI call on day eight, a seasonal price-hold at week four and a genuine last call at week eight. Exterior customers roll into next spring's sequence automatically.

The problems, named

  • Quotes go cold in silenceThe homeowner is getting three estimates. The one that follows up twice usually wins, and most painters follow up once.
  • Enquiries arrive on five channelsFacebook message, website form, Google call, Instagram DM, referral text. Without one inbox, at least one of them is missed every week.
  • Exterior season is short and unmanagedThe weeks that pay for the year come and go with no campaign against last year's quoted-but-lost list.
  • Repeat work is left on the tableA customer who did the living room this year will do the kitchen next year — if anyone asks.

SPEC-05 // THE ARITHMETIC

Who it fits, and what it is worth doing

Every figure below is an illustrative scenario with its assumptions on show. Change them — the console is there so you can argue with our numbers using yours.

WHO IT IS FOR

  • Residential painting companies running one to six crews
  • Painters doing both interior and exterior with a seasonal swing
  • Companies where the owner is still the estimator and the follow-up never happens
  • Agencies packaging home-services automation for trade clients

WHO IT IS NOT FOR

  • Commercial painting contractors bidding on tender documents
  • Franchise operations locked into a mandated head-office CRM
  • Anyone quoting fewer than about ten jobs a month — the follow-up engine needs volume to earn its place

If you are on this list, say so and we will tell you which snapshot fits — or that none of them do. A refund is more expensive for both of us than an honest sentence.

  • A few extra automations where they are neededIf the client works in a way the snapshot does not quite cover, we build the handful of automations that close the gap. Not a rebuild — the last few percent.

NOT ON IT — SEPARATE QUOTE

  • Third-party integrationsAnything that has to talk to a system outside GoHighLevel — a field service platform, a PMS, a booking engine, an accounting stack.
  • Third-party softwareLicensing, configuring or supporting tools that are not GoHighLevel. We will tell you what we would use; running it is a separate engagement.
  • Custom software developmentPortals, dashboards, middleware and apps built outside the platform. Real engineering, with a real spec and a real quote behind it.

The line does not move, in either direction. Inside GoHighLevel and inside the snapshot is on the work order and costs nothing. Outside the platform is scoped, quoted and agreed before anyone starts. If you want the inside-the-platform work every week rather than once, that is a dedicated GoHighLevel VA on a monthly rate, not a bigger install. That work lives at integrations and API work, or you can put a GoHighLevel VA on it monthly and stop quoting each piece.

IN THE BOX

Included with the snapshot

  • The snapshot and everything inside itImport problems, trigger logic, workflow branches, pipeline stages, calendar behaviour, custom values, template copy — if it shipped in the snapshot, it is ours to make work.
  • Adding to what is already thereWant two more automations on top of the set, a fifth reminder, an extra pipeline stage, a different cadence? That is a conversation, not a quote.
  • Tuning it to how the client actually worksRewiring branches, changing timings, re-scoping a sequence to a different service line. Adjustment inside the snapshot is part of owning it.

SCOPED SEPARATELY

Quoted, or run by a dedicated VA

  • Third-party integrationsAnything that has to talk to a system outside GoHighLevel — a field service platform, a PMS, a booking engine, an accounting stack.
  • Third-party API workCustom endpoints, webhook middleware, data sync jobs, anything that needs its own credentials, error handling and uptime.
  • Custom software developmentPortals, dashboards, apps and anything built outside the platform. Real engineering with a real spec behind it.

The line is simple and we hold it in both directions: inside the snapshot is included, outside the platform is scoped and quoted — or handed to a GoHighLevel VA on a monthly rate if you would rather it just got done. You always know which side of the line you are on before any work starts. The quoted route is integrations and API work; the retained route is a GoHighLevel VA.

SPEC-08 // QUESTIONS

Before you install House Painting Contractor Snapshot

The three things agencies ask about this snapshot specifically.

General FAQ
Does it collect photos before the walkthrough?
Yes. The qualification form asks for room or elevation photos and writes them to the contact record, so the estimator arrives knowing roughly what the job is.
Can I run different cadences for interior and exterior?
They are separate branches from the first question. Exterior carries the seasonal price-hold and the spring re-entry; interior runs shorter and harder.
What happens to quotes we lose?
They are tagged as lost with a reason and roll into the reactivation list, which is worked again at six months and again at the start of the next exterior season.
