Dental Practice Snapshot — GoHighLevel snapshot

A dental practice runs on the recall list and the unaccepted treatment plan. This snapshot works both of them continuously, answers the phone the front desk cannot, and recovers the no-show inside the hour instead of leaving a chair empty.

SPEC-01 // WHAT IS INCLUDED

Thirteen channels, wired for dental & ortho

Every snapshot in the library lands the same thirteen things in the sub-account, and none of them is sold to you by the dozen. Nine of the thirteen are the system components; the other four are what those components run on. Here is each one in Dental Practice language, with the problem it solves, what changes, and how it pays for itself.

MANIFEST // WHAT LANDS IN THE ACCOUNT

Every snapshot in the library ships these thirteen. We do not publish a count against any of them, because a counted promise is a promise and the honest answer is "as many as the trade needs, wired and tested". The receptionist and the chatbot are the exception — there is one of each, which is the client’s own wording and ours.

  1. CH-01

    1 AI Receptionist

    Capture

    SYSTEM COMPONENT 01AI Receptionist

The 8am rush and the 5pm rush are when a practice loses new patients, because both receptionists are checking people in. This answers every overflow call, distinguishes a new patient from a recall, takes the insurance or plan details, and books into real chair availability. Anything clinical — pain, swelling, a broken crown — is escalated to a person rather than answered.

    • Covers the 8am and 5pm rushes without a second receptionist
    • Books into genuine chair availability, not a request list
    • Takes plan or insurance details before booking
    • Clinical questions escalate to a person, never answered
    THE FAULT
The eight o'clock rush and the five o'clock rush are the same hour twice: both receptionists are checking patients in and taking payments, and the call that goes unanswered is disproportionately the new patient choosing between three practices.
    ONCE IT IS RUNNING
Overflow calls are answered every time, a new patient is separated from a recall, the plan or insurer is taken, and the appointment is booked against genuine chair availability. Anything clinical, whether pain, swelling or a lost crown, is escalated to a person and never answered by the assistant.
    THE RETURN
If the two rush hours account for fifteen unanswered calls a week, and a new patient converts at forty-five per cent on a $260 first visit, six recovered calls is under $1,800 weekly on first visits alone. The treatment behind them is the larger figure.
  2. CH-02

    1 AI Chatbot

    Capture

    SYSTEM COMPONENT 03AI Chatbot

The questions that stop somebody booking a dentist are cost, insurance and fear, in that order. This gives cost bands for the common treatments, answers what the plan covers, offers the nervous-patient path without making it awkward, and books the appointment inside the conversation. Clinical questions are escalated, always.

    • Cost bands for common treatments, stated openly
    • Answers what a plan or insurance actually covers
    • Offers the nervous-patient route without making it a thing
    • Escalates anything clinical to the practice
    THE FAULT
Three things stop somebody booking a dentist, in this order: cost, whether their plan covers it, and fear. None are questions a nervous patient will ring a practice at nine in the morning to ask, so they read the site and close it.
    ONCE IT IS RUNNING
The assistant answers on the site, by text and in Instagram with cost bands for common treatments, what the plans you accept actually cover, and a nervous-patient route offered without making it awkward. It books into a real slot and escalates anything clinical rather than attempting an answer.
    THE RETURN
If the site takes eighty visitors a day and two per cent open a conversation, that is roughly eleven a week who previously left with the cost question unanswered. Two becoming booked new patients at your own average case value clears the account inside a fortnight.

SUBSTRATE — NO COMPONENT OF ITS OWN

Not one of the nine, and not decoration either. This is part of what the nine run on: get it wrong and every component above it misbehaves in a way that is very hard to debug six weeks later.

    THE FAULT
The practice manager can tell you how many patients are booked this week and cannot tell you how much presented treatment is sitting unaccepted, because the crown discussed in March exists as a line in the patient record and nowhere anyone reviews.
    ONCE IT IS RUNNING
A new-patient board running from enquiry to first visit, a recall board sorted by weeks overdue rather than alphabetically, and a treatment-plan board where presented, considering, finance discussed, accepted and scheduled are real stages with real dates attached.
    THE RETURN
Take fifteen presented plans sitting unaccepted at a $2,400 average. That is $36,000 of already-presented work with nothing chasing it. A board that surfaces the ones untouched for a fortnight needs to convert one a quarter to justify keeping.

SUBSTRATE — NO COMPONENT OF ITS OWN

Not one of the nine, and not decoration either. This is part of what the nine run on: get it wrong and every component above it misbehaves in a way that is very hard to debug six weeks later.

    THE FAULT
A patient says they will think about the crown and the practice manager means to ring in a fortnight. Then a hygienist calls in sick, the day collapses, and nobody rings, so a plan that was presented properly expires alongside the patient benefit year.
    ONCE IT IS RUNNING
The automations run the follow-up that never survives a busy Tuesday: a treatment-plan sequence naming the specific work with finance framing, a recall sequence starting before the due date rather than three months after it, benefit-expiry prompts, and same-day cancellations offered to a short-notice list.
    THE RETURN
Eighty recalls a month at two touches each and four minutes a touch is five hours of front-desk time, and the hours are the small half. If the sequence recovers four recalls a month at a $180 hygiene visit, the chair time alone repays it.
  5. CH-05

Appointment reminders, confirmations and no-show recovery

    Booking

    SYSTEM COMPONENT 05Smart Appointment System

An empty chair cannot be resold at short notice unless somebody is asked immediately. The confirmation carries the appointment, what to bring and the practice policy. Reminders at twenty-four hours, an hour and fifteen minutes, and a no-show triggers both a recovery call and an offer of the slot to the short-notice list inside the hour.

    • Confirmation covers policy, paperwork and arrival time
    • A day before, an hour before, and fifteen minutes before the chair
    • A no-show offers the chair to the short-notice list at once
    • Recovery call inside the hour, while the day is salvageable
    THE FAULT
A no-show is the one loss in dentistry that cannot be made up later. The chair sat empty, the hygienist was paid, and the hour cannot be sold retrospectively. The recovery call that could have refilled it almost never gets made the same day.
    ONCE IT IS RUNNING
The confirmation covers the appointment, the arrival time and the cancellation policy without any clinical detail. Reminders at twenty-four hours, one hour and fifteen minutes, then a no-show triggers a recovery call inside the hour targeting seventy per cent and offers the slot to the short-notice list.
    THE RETURN
Ninety appointments a week with six no-shows is six chair hours gone. Recover four at your own hourly chair value, and since hygiene and restorative differ, run both, and this channel on its own outruns the cost of the account most weeks.

SUBSTRATE — NO COMPONENT OF ITS OWN

Not one of the nine, and not decoration either. This is part of what the nine run on: get it wrong and every component above it misbehaves in a way that is very hard to debug six weeks later.

    THE FAULT
Someone researching implants will read for six weeks before booking anything, while a cracked tooth on a Sunday evening converts in ninety seconds or not at all. A single appointment button serves the slow buyer badly and the urgent one worse.
    ONCE IT IS RUNNING
Separate routes: a new-patient offer path naming the plans you accept, a cosmetic consultation path built around a high-value case with finance framing, an emergency path with genuine same-day availability, and a membership signup path that sells the recall rather than a single visit.
    THE RETURN
If a cosmetic consultation path takes six enquiries a month and one accepts a $4,800 case, that path is worth more in a month than the account costs in a year. Substitute your own case value and your own consultation-to-acceptance rate.
  7. CH-07

    AI Studio website

    Capture

    SYSTEM COMPONENT 04Professional Website

A practice site organised by what patients search: general dentistry, cosmetic, implants and emergency each on their own page, the plans you accept listed by name, and the team page that does more for new-patient conversion than any other page on a dental site. The new-patient form collects the plan and the reason for the visit before contact details.

    • General, cosmetic, implants and emergency split out
    • Accepted plans and insurers named, because people search them
    • Team page treated as a conversion page, not an afterthought
    • New-patient form takes plan and reason first
    THE FAULT
A practice site that lists services in an accordion and hides the clinicians behind stock photography loses to the practice down the road whose dentists have names and faces, because a new patient is choosing a person to sit still for, not a service.
    ONCE IT IS RUNNING
General, cosmetic, implants and emergency each get a page, accepted plans and insurers are named because people search on them, the team page is treated as the conversion page it actually is, fee bands are stated, and the new-patient form takes plan and reason for visit first.
    THE RETURN
If the practice takes twenty new-patient enquiries a month and a clearer site moves that to twenty-five at a $260 first visit and forty-five per cent conversion, the extra first visits alone cover the account, and the treatment plans behind them are the real return.
  8. CH-08

    Nurture campaign

    Nurture

    SYSTEM COMPONENT 02AI Outbound Caller

Two lists cost a practice more than anything else: hygiene recalls that lapsed and treatment plans that were accepted and never scheduled. This works both. The recall call references the last visit date; the treatment call references the specific work, because "your dental treatment" persuades nobody and "the crown on the upper left" persuades most people.

    • Lapsed hygiene recalls called by last-visit date
    • Accepted-but-unscheduled treatment named specifically
    • Same-day cancellations offered to a short-notice list
    • Stops on a booking or an opt-out, immediately

    SYSTEM COMPONENT 08Database Reactivation

The list every practice is sitting on is patients who were last seen more than a year ago and never formally left. Six months past a missed recall the sequence starts, references the last visit and what was due, and offers a check-up appointment rather than a discount — because a discount on dentistry reads as a warning.

    • Triggers six months past a missed recall
    • References the last visit and what was outstanding
    • Offers an appointment, never a discounted treatment
    • Any reply re-enters the recall list properly
    THE FAULT
The patients who left without saying so are still in the practice software, and so is every plan presented and politely declined. The marketing budget meanwhile goes on strangers who have never sat in one of your chairs.
    ONCE IT IS RUNNING
Unaccepted plans are worked with the specific work named and the finance option raised rather than a discount, because a discount on dentistry reads as a warning. Lapsed patients get a check-up invitation six months past a missed recall, referencing the last visit date and nothing clinical.
    THE RETURN
A list of four hundred patients not seen in over a year, one reactivation pass, and two per cent returning is eight patients at a $260 first visit. Modest, until you count that a returning patient usually arrives with a treatment need already outstanding.
  9. CH-09

    Review automation

    Proof

    SYSTEM COMPONENT 06Review Harvesting

For dentistry the window is after the anaesthetic has worn off and before the day is over, so the request goes two hours post-visit. Asking at the desk while a patient is paying and still numb produces a polite yes and no review; asking two hours later produces the review.

    • Two hours after the appointment, not at the desk
    • Deliberately after the anaesthetic, before the day ends
    • The check happens before any link leaves
    • Anything about pain or outcome routes to the practice manager

    SYSTEM COMPONENT 07Review Automation

A patient on six-month recall must not be asked twice a year. The cadence caps them at one request every twelve months, skips the ask entirely after a difficult appointment, follows up once on another channel, and routes anything clinical to the practice manager instead of generating an automated reply. Nothing about treatment outcomes is ever answered by a bot.

    • One ask a year per patient, regardless of recall frequency
    • Skips the ask after a difficult or emergency appointment
    • Clinical review content never gets an automated reply
    • Target: 5–10 reviews a month for an active practice
    THE FAULT
Asking at the desk while a patient is still numb and paying gets a polite yes and no review. Asking every visit is worse, because a recall patient is in twice a year. And a public reply mentioning somebody's treatment is a privacy problem before it is a marketing one.
    ONCE IT IS RUNNING
It lands two hours post-visit, deliberately after the anaesthetic and before the day ends, capped at one ask a year per patient and suppressed entirely after a difficult or emergency visit. Anything clinical in a review routes to the practice manager, never to an automated reply.
    THE RETURN
Five to ten a month is the target, from a patient base that attends twice a year. Weigh it against what a new-patient enquiry currently costs through paid search, since the same profile is read by everyone who sees the advert and then checks you.
  10. CH-10

    Seasonal automation

    Retention

    SYSTEM COMPONENT 09Lifetime Nurture Campaigns

Dentistry has the cleanest retention calendar of any niche: six-month recall, annual x-rays, hygiene intervals that differ per patient, and plan renewals. All of it runs on the patient record rather than on somebody remembering. Birthday touches go out, and the referral prompt runs monthly because a family practice grows through families.

    • Six-month recall and hygiene intervals per patient
    • Plan renewals chased before they lapse
    • Birthday and anniversary touches from the record
    • Monthly referral prompt, aimed at families
    THE FAULT
Insurance benefit a patient paid for all year expires on the thirty-first of December whether it is used or not, and most practices mention it in the second week of December, by which point there is no chair time left to sell them.
    ONCE IT IS RUNNING
Benefit-expiry reminders start in October while there is still chair time to fill, hygiene intervals run per patient rather than on a blanket six months, plan renewals are chased before they lapse, birthday touches go out from the record, and a monthly referral prompt is aimed at families.
    THE RETURN
Three hundred patients with unused benefit and an October start rather than a December one: if four per cent book restorative work at an $800 average, that is a fortnight of chair time filled from a sequence written in the summer.

SUBSTRATE — NO COMPONENT OF ITS OWN

Not one of the nine, and not decoration either. This is part of what the nine run on: get it wrong and every component above it misbehaves in a way that is very hard to debug six weeks later.

    THE FAULT
The practice stops participating with one insurer, and for the next three months the website, the recall email and the assistant on the phone all keep telling patients you accept it. Every one of those is a conversation the front desk has to unpick.
    ONCE IT IS RUNNING
Recall interval, hygiene interval, new-patient offer wording, accepted plans and insurers, finance provider, cancellation notice period, the benefit-year end date and the out-of-hours emergency number are set once at account level and read everywhere, including by the assistant on the phone.
    THE RETURN
When participation changes, one field changes instead of a day spent finding every mention. For an agency running practices with different benefit-year end dates, this is the single field that stops a December campaign firing in the wrong month.

Not one of the nine, and not decoration either. This is part of what the nine run on: get it wrong and every component above it misbehaves in a way that is very hard to debug six weeks later.

    THE FAULT
Recall due date, hygiene interval, plan tier, benefit renewal month and the specific treatment presented and not accepted are the five things that drive every campaign a practice ought to run, and they usually sit inside software the marketing side cannot query.
    ONCE IT IS RUNNING
Recall and hygiene due dates, plan or insurer with the benefit-year end, membership tier, presented treatment with its value and presentation date, acceptance status, whether finance was discussed, preferred clinician and a nervous-patient flag. Deliberately no clinical notes, because marketing has no business holding them.
    THE RETURN
The query that pays is every patient with an unaccepted plan and benefit expiring this year. If that is sixty patients and five per cent proceed at a $1,900 average, one segment is worth roughly $5,700 of chair time already diagnosed and already presented.

SUBSTRATE — NO COMPONENT OF ITS OWN

Not one of the nine, and not decoration either. This is part of what the nine run on: get it wrong and every component above it misbehaves in a way that is very hard to debug six weeks later.

    THE FAULT
A new patient fills in a paper medical history in the waiting room, so the appointment starts late and the front desk types it up afterwards. Nothing captures why they chose you or whether they are anxious, which is what decides the second visit.
    ONCE IT IS RUNNING
The new-patient form takes the plan, the reason for the visit and consent before contact details, a nervous-patient question routes them to a longer first appointment, and a post-visit survey gates the review ask. Clinical history stays in the practice software rather than the CRM.
    THE RETURN
Ten minutes of front-desk typing per new patient, at twenty new patients a month, is over three hours monthly. The bigger gain is chair time: a first appointment that starts on schedule protects every appointment behind it for the rest of the morning.

SPEC-03 // WHY THIS EXISTS

What this actually fixes

An empty chair is the most expensive thing in a dental practice, and it is almost always caused by something administrative: a recall nobody called, a plan nobody followed up, a patient who forgot and was never chased.

The snapshot puts an AI on the phone so new-patient enquiries and reschedules are handled at nine in the morning when the front desk is at its worst, and books straight into the live hygiene and treatment calendars.

Then it runs the two lists that pay for everything: the recall list, worked by SMS, email and a live call before the due date rather than three months after it, and the unaccepted treatment plan, followed with finance framing and a booking link until the patient decides either way.

The problems, named

  • Recalls slip and never get made upA six-month recall missed by four weeks turns into a patient who has quietly moved practice.
  • Treatment plans stall after the consultThe patient says they will think about it, and nobody ever calls to answer the thing they were actually thinking about.
  • No-shows cost a full chair hourOne missed hygiene slot is unrecoverable revenue and the recovery call almost never happens the same day.
  • The front desk cannot answer everythingThe busiest phone hour is the busiest counter hour, and new-patient calls are what get lost.

SPEC-05 // THE ARITHMETIC

Who it fits, and what it is worth doing

Every figure below is an illustrative scenario with its assumptions on show. Change them — the console is there so you can argue with our numbers using yours.

WHO IT IS FOR

  • General dental practices with one to eight chairs
  • Practices with a hygiene programme and a recall list they know is leaking
  • Ortho and implant practices with high-value plans that need real follow-up
  • Agencies building dental clients who need a compliant starting point

WHO IT IS NOT FOR

  • Practices whose patient management software cannot export a recall list at all
  • Hospital or NHS-style referral-only clinics with no marketing function
  • Anyone expecting clinical record integration — that is third-party API work and is quoted separately

If you are on this list, say so and we will tell you which snapshot fits — or that none of them do. A refund is more expensive for both of us than an honest sentence.

  • Rebranding the websiteLogo, palette, business details, service area, contact routes and the pages rewritten to the client rather than the demo. The site comes out looking like theirs, not like ours.
  • A2P / 10DLC registration and setupBrand and campaign filed, the consent language and opt-out handling wired to match what was filed, and the number attached once it clears. The step most installs stall on for a fortnight.
  • Email service setupDomain email integrated into GoHighLevel, sending domain authenticated, and a test send checked out of the account rather than assumed.
  • A few extra automations where they are neededIf the client works in a way the snapshot does not quite cover, we build the handful of automations that close the gap. Not a rebuild — the last few percent.

NOT ON IT — SEPARATE QUOTE

  • Third-party integrationsAnything that has to talk to a system outside GoHighLevel — a field service platform, a PMS, a booking engine, an accounting stack.
  • Third-party softwareLicensing, configuring or supporting tools that are not GoHighLevel. We will tell you what we would use; running it is a separate engagement.
  • Custom software developmentPortals, dashboards, middleware and apps built outside the platform. Real engineering, with a real spec and a real quote behind it.

The line does not move, in either direction. Inside GoHighLevel and inside the snapshot is on the work order and costs nothing. Outside the platform is scoped, quoted and agreed before anyone starts. If you want the inside-the-platform work every week rather than once, that is a dedicated GoHighLevel VA on a monthly rate, not a bigger install. That work lives at integrations and API work, or you can put a GoHighLevel VA on it monthly and stop quoting each piece.

Want to see it before you spend anything? Book thirty minutes and we will open the account live, run the customer journey and answer whatever the spec page left out.

IN THE BOX

Included with the snapshot

  • The snapshot and everything inside itImport problems, trigger logic, workflow branches, pipeline stages, calendar behaviour, custom values, template copy — if it shipped in the snapshot, it is ours to make work.
  • Adding to what is already thereWant two more automations on top of the set, a fifth reminder, an extra pipeline stage, a different cadence? That is a conversation, not a quote.
  • Tuning it to how the client actually worksRewiring branches, changing timings, re-scoping a sequence to a different service line. Adjustment inside the snapshot is part of owning it.

SCOPED SEPARATELY

Quoted, or run by a dedicated VA

  • Third-party integrationsAnything that has to talk to a system outside GoHighLevel — a field service platform, a PMS, a booking engine, an accounting stack.
  • Third-party API workCustom endpoints, webhook middleware, data sync jobs, anything that needs its own credentials, error handling and uptime.
  • Custom software developmentPortals, dashboards, apps and anything built outside the platform. Real engineering with a real spec behind it.

The line is simple and we hold it in both directions: inside the snapshot is included, outside the platform is scoped and quoted — or handed to a GoHighLevel VA on a monthly rate if you would rather it just got done. You always know which side of the line you are on before any work starts. The quoted route is integrations and API work; the retained route is a GoHighLevel VA.

SPEC-07 // SIGNAL

Sample entries. These cards show how a review reads here. We publish a real one the day a real agency gives us one — and no rating is sent to search engines until then.

Sample
Preview copy for the dental snapshot review slot. It is deliberately written as filler rather than as a testimonial, because an invented testimonial is a lie and a slow layout is only an inconvenience.

SPEC-08 // QUESTIONS

Before you install Dental Practice Snapshot

The three things agencies ask about this snapshot specifically.

General FAQ
Is the messaging patient-privacy safe?
The templates are written to avoid clinical detail in outbound messages — they reference an appointment, not a diagnosis. Consent capture is on every form. Your own regulatory position is yours to confirm, and we will happily walk your compliance lead through what the snapshot sends.
Does it connect to our practice management software?
Not by default. Recall and appointment data usually comes in by export or a scheduled file, which is included. A live two-way integration is third-party API work and is quoted separately.
What if a patient replies to a reminder with a clinical question?
The reply detection halts the automation immediately and routes the conversation to a human with the full thread attached. Nothing clinical is ever answered by the bot.
