Childcare Centre Snapshot — GoHighLevel snapshot

Childcare enrolment is decided on the tour. This snapshot answers the enquiry warmly and instantly, books the tour, gets the family to actually attend it, and keeps the waitlist warm for the months between enquiry and a place becoming available.

SPEC-01 // WHAT IS INCLUDED

Thirteen channels, wired for childcare & early years

Every snapshot in the library lands the same thirteen things in the sub-account, and none of them is sold to you by the dozen. Nine of the thirteen are the system components; the other four are what those components run on. Here is each one in Childcare Centre language, with the problem it solves, what changes, and how it pays for itself.

MANIFEST // WHAT LANDS IN THE ACCOUNT

Every snapshot in the library ships these thirteen. We do not publish a count against any of them, because a counted promise is a promise and the honest answer is "as many as the trade needs, wired and tested". The receptionist and the chatbot are the exception — there is one of each, which is the client’s own wording and ours.

  1. CH-01

    1 AI Receptionist

    Capture

    SYSTEM COMPONENT 01AI Receptionist

A parent ringing a nursery is making one of the most anxious purchases they will ever make, and they ring six places in an afternoon. This answers, takes the child's age and the start date they need, works out which room that puts them in and whether there is space, and books the tour. Where there is no space it offers the waitlist honestly rather than taking a tour booking that cannot lead anywhere.

    • Takes the child's age and required start date first
    • Checks room availability before offering a tour
    • Offers the waitlist honestly when there is no space
    • Books the tour into a real slot with a real person
    THE FAULT
A mother rings at half four on a Tuesday while the rooms are handing over and every member of staff is counted into a ratio. Nobody can step off the floor to answer, and she has three more numbers to try before the school run.
    ONCE IT IS RUNNING
Calls answered warmly at any hour, taking the age band, the start date needed and the days wanted, working out which room that lands in, and offering a visit only where a place could realistically exist. Anything touching a child's additional needs goes to the manager, never to the assistant.
    THE RETURN
Take a $1,100 monthly fee and a stay of two and a half years, and one enrolment is over $30,000 across the placement. If four families a month ring while the floor is at ratio and one of those four would have toured, the sum barely needs writing down.
  2. CH-02

    1 AI Chatbot

    Capture

    SYSTEM COMPONENT 03AI Chatbot

Parents research nurseries at ten at night after bedtime, and their questions are specific: fees, hours, funded places, staff ratios, food. This answers all of them plainly, captures the child's age and the days needed, and books the tour. Anything about a specific child's needs is handed to the manager rather than answered.

    • Answers fees, hours and funded places plainly
    • States the ratios rather than deflecting the question
    • Captures the child's age and the days needed
    • Individual-needs questions go to the manager
    THE FAULT
Parents research settings at ten at night with a baby asleep upstairs, and their questions are fees, funded hours, ratios, food and whether nappies are included. An unanswered chat at that hour is a family who books a visit with whichever nursery replied.
    ONCE IT IS RUNNING
One assistant across chat, SMS, email and the social inboxes, giving fees and funded entitlement as figures, stating the ratios rather than deflecting the question, capturing the age band and the days needed, booking the tour, and handing anything about a specific child to the manager.
    THE RETURN
If twelve after-hours enquiries a month wait until morning and three of them have booked elsewhere by then, that is three tours lost every month. At a one in five enrolment rate against a placement worth tens of thousands, work out what a year of that costs.

SUBSTRATE — NO COMPONENT OF ITS OWN

Not one of the nine, and not decoration either. This is part of what the nine run on: get it wrong and every component above it misbehaves in a way that is very hard to debug six weeks later.

    THE FAULT
A family wanting a place next month, a family wanting September and a family whose child is not born yet all sit in the same enquiry list, so the manager cannot see which conversations are live and which will not move until the leavers go up to school.
    ONCE IT IS RUNNING
An enquiry board running enquiry, tour booked, tour attended, registration and settling, plus a separate waitlist board ordered by required start date and age room, so a place opening in the toddler room tells you immediately which family to ring first and in what order.
    THE RETURN
Assume forty families waiting and six places opening across a year. Filling all six from an ordered list rather than an email blast to everybody, at a $1,100 fee across a two-and-a-half-year stay, is most of a room's annual income handled without an advert.

SUBSTRATE — NO COMPONENT OF ITS OWN

Not one of the nine, and not decoration either. This is part of what the nine run on: get it wrong and every component above it misbehaves in a way that is very hard to debug six weeks later.

    THE FAULT
Registration forms go out after a visit and come back whenever they come back. A family who toured on Monday and loved the place is still unenrolled three weeks later because nobody chased the paperwork and nobody had a reason to notice.
    ONCE IT IS RUNNING
Sequences on the milestones that matter: a same-evening follow-up after a visit, per-item chasing on registration and consent forms, an availability alert to matching waitlist families in order, and immediate manager escalation on anything a parent writes touching care or safeguarding.
    THE RETURN
If ten families tour each month and three who wanted to enrol drift on paperwork, recovering one of those three monthly is twelve placements a year. At a $1,100 fee across a typical stay, that is not a rounding error on anybody's spreadsheet.
  5. CH-05

Appointment reminders, confirmations and no-show recovery

    Booking

    SYSTEM COMPONENT 05Smart Appointment System

The tour is the enrolment. The confirmation says who they will meet, how long it takes, and that they should bring the child — which materially changes the conversion. Reminders at twenty-four hours, an hour and fifteen minutes, and a missed tour gets a call inside the hour, because a parent who missed a tour is touring somewhere else on Thursday.

    • Confirmation names who they will meet and how long it takes
    • Asks them to bring the child, which changes the outcome
    • A day before, an hour before, and fifteen minutes before the tour
    • Recovery call inside the hour, before they tour elsewhere
    THE FAULT
A missed visit is a missed enrolment, because the family who did not arrive on Wednesday is walking round a different setting on Thursday. Nobody in a nursery has a spare hour at four to notice the empty slot and pick up the phone.
    ONCE IT IS RUNNING
Confirmation naming the key person they will meet and how long the visit takes, reminders a day, an hour and fifteen minutes before, and a recovery call inside the hour against a 70% no-show recovery target, while the family is still making up its mind.
    THE RETURN
Say you run fifteen tours a week and two do not arrive. Putting most of those back is around six tours a month recovered. At a one in five enrolment rate that is a placement a month, each worth tens of thousands across the length of the stay.

SUBSTRATE — NO COMPONENT OF ITS OWN

Not one of the nine, and not decoration either. This is part of what the nine run on: get it wrong and every component above it misbehaves in a way that is very hard to debug six weeks later.

    THE FAULT
September places are decided in the spring, and the site offers one route to everybody: a general enquiry box. A parent searching for funded hours in March and a parent who cannot start until next year end up in exactly the same queue.
    ONCE IT IS RUNNING
Conversion paths built around enrolment rather than selling: a visit booking route offering slots only for rooms with capacity, a waitlist registration path that is honest about when a place might appear, and a funded-hours page that ends in a booked visit rather than a callback.
    THE RETURN
Assume thirty enquiries a month with a fifth booking a visit today. A path that removes the wait for a reply and books in the moment only has to lift that to a quarter to add a tour and a half every month, against a placement value in the tens of thousands.
  7. CH-07

    AI Studio website

    Capture

    SYSTEM COMPONENT 04Professional Website

A nursery site that answers a nervous parent: the rooms by age group, the daily routine written out, fees and funded hours stated in figures, the inspection rating where it belongs, and the staff page — which parents read more carefully than any other page on the site. The tour form takes the child's age and start date before contact details.

    • Rooms by age group, with the daily routine written out
    • Fees and funded hours stated in real figures
    • Inspection rating and staff page given prominence
    • Tour form takes child age and start date first
    THE FAULT
A parent reads the staff page more carefully than anything else on a nursery site, and on most sites it does not exist. Fees are on request, the inspection outcome is buried three clicks down, and the day is described as fun and stimulating.
    ONCE IT IS RUNNING
Rooms set out by age band with the day written out hour by hour, fees and funded entitlement given as numbers rather than on request, the inspection outcome where a parent expects to find it, a staff page carrying qualifications and key-person detail, and a visit request that begins with the age of the child.
    THE RETURN
If the site takes six hundred visits a month and one in fifty books a tour, that is a dozen tours from the site alone. Doubling that conversion at a one in five enrolment rate adds more than a placement a month, each earning a $1,100 fee for as long as the child stays.
  8. CH-08

    Nurture campaign

    Nurture

    SYSTEM COMPONENT 02AI Outbound Caller

Nurseries lose enrolments between the tour and the paperwork, and lose waitlist families to whoever called first when a space opened. This calls the family who toured and did not enrol at day three, and calls the waitlist the moment a place comes free rather than emailing thirty people and waiting.

    • Calls a toured-not-enrolled family at day three
    • Calls the waitlist when a place opens, in order
    • Chases outstanding registration paperwork by name
    • Stops on an enrolment or an opt-out

    SYSTEM COMPONENT 08Database Reactivation

The list is full of families who toured, chose elsewhere, and now have a second child. Six months of silence starts a sequence built on the child's age moving them into a different room — which is a real change in availability rather than a manufactured reason to make contact.

    • Six months after the enquiry, the sequence starts
    • Built on the child ageing into a different room
    • Waitlist families kept warm with real availability news
    • A reply moves the family back onto the live enquiry board
    THE FAULT
A family sits on the waitlist for five months hearing nothing at all, enrols somewhere else, and never tells you. The setting finds out when a place finally opens and discovers half the list went elsewhere in the spring.
    ONCE IT IS RUNNING
Scheduled waitlist updates carrying real availability news rather than filler, a follow-up sequence on families who visited and did not register, an outbound call on the ones worth a voice, and a dormant-enquiry programme that writes when the room a child now belongs in has space again.
    THE RETURN
Assume forty waitlisted families with a fifth quietly gone by the time you ring. Keeping ten of those forty warm across the wait means that when two places open in the baby room you fill them from the list, instead of paying for an advert and starting over.
  9. CH-09

    Review automation

    Proof

    SYSTEM COMPONENT 06Review Harvesting

The ask goes out at the end of the settling-in period, not after the tour and not on the first day. A parent whose child has settled has something real to say; a parent on day one is still anxious. The trigger reads the settling milestone rather than the enrolment date.

    • Fires at the end of settling-in, not on day one
    • Reads the settling milestone, not the enrolment date
    • One question is asked before any link is offered
    • Any concern about care routes to the manager immediately

    SYSTEM COMPONENT 07Review Automation

A family is with a nursery for three or four years and should be asked twice: once after settling, once at the end. The cadence enforces that, follows up on another channel after three days, and routes anything describing a safeguarding or care concern to the manager rather than generating an automated reply — which in childcare is not a preference, it is a requirement.

    • Asked twice across a whole enrolment: settling, and leaving
    • A second, gentler ask three days later
    • Care and safeguarding content never answered automatically
    • Target: 5–10 reviews a month for an active setting
    THE FAULT
Nothing shortlists a setting faster than what another parent wrote, and most happy families are never asked, because asking feels like a sales act to a manager whose job is care. What is there is two years old and one entry is about parking.
    ONCE IT IS RUNNING
The request waits until settling-in has finished, since a parent in the first week can only comment on nerves, and a second goes out when the child leaves for school. A satisfaction question runs first, and anything touching care or safeguarding reaches the manager rather than a review link.
    THE RETURN
A target of 5 to 10 a month keeps a listing current in a sector where a parent will not shortlist a setting whose newest review predates the last inspection. If that produces two extra enquiries a month at a one in five enrolment rate, the maths runs itself.
  10. CH-10

    Seasonal automation

    Retention

    SYSTEM COMPONENT 09Lifetime Nurture Campaigns

Nursery retention is about the transitions: room moves, school readiness, the sibling who arrives two years later. Those go out on the child's date of birth already on the record, along with term-date reminders and funded-hours renewals, and the referral prompt runs monthly because nurseries fill through the school gate.

    • Room-move and school-readiness prompts from the date of birth
    • Term dates and funded-hours renewals handled automatically
    • Sibling enquiries prompted at the right age gap
    • Monthly referral prompt, aimed at the school gate
    THE FAULT
The nursery year has fixed shapes: the September intake, the term dates, funded hours renewing each term, the room move at two, and the sibling arriving eighteen months behind the first. All of it is known well in advance and almost none of it is scheduled.
    ONCE IT IS RUNNING
Campaigns fired from the date of birth already on the record: room-move notice, school-readiness messaging in the term before they leave, funded-hours renewal each term, term-date reminders, a sibling enquiry timed to the right age gap, and a monthly referral prompt aimed at the school gate.
    THE RETURN
Siblings are the cheapest enrolment a setting will ever make. If a hundred current families produce ten siblings a year unprompted and a timed prompt makes it thirteen, three extra placements at a $1,100 fee across a full stay is close to a hundred thousand.

Not one of the nine, and not decoration either. This is part of what the nine run on: get it wrong and every component above it misbehaves in a way that is very hard to debug six weeks later.

    THE FAULT
Fees rise in April, the funded hours figure changes with policy, the notice period is whatever the last person typed. All of it lives inside every template you own, and a confirmation email is still quoting last year in the middle of June.
    ONCE IT IS RUNNING
Values held once at account level for daily and sessional fees, funded entitlement hours, session times, the notice period, the inspection rating, the visit booking link and the manager name, so an April increase or a new rating is a single edit read by every message that goes out.
    THE RETURN
Quoting a fee you no longer charge to a family who then registers is a conversation nobody wants to have on a child's first morning. Avoiding one of those a year is worth more than the hour of editing saved, and the hour is saved as well.

SUBSTRATE — NO COMPONENT OF ITS OWN

Not one of the nine, and not decoration either. This is part of what the nine run on: get it wrong and every component above it misbehaves in a way that is very hard to debug six weeks later.

    THE FAULT
Everything that decides whether a place is possible arrives during a phone call and lands in a notes box: date of birth, days wanted, funded status, whether there is already a sibling in the toddler room. Nobody can list every family needing a Tuesday in September.
    ONCE IT IS RUNNING
Structured fields for age band and date of birth, required start date, days and sessions wanted, funded status, sibling link, room allocation, waitlist position and notice date. Deliberately minimal on the child, nothing clinical, with consent recorded against the form that captured it.
    THE RETURN
Filtering every waitlisted family who needs Monday to Wednesday in the preschool room turns an hour with a spreadsheet into a click. Do that each time a place opens across a year and the structure has paid for the whole build before you count the enrolments.

SUBSTRATE — NO COMPONENT OF ITS OWN

Not one of the nine, and not decoration either. This is part of what the nine run on: get it wrong and every component above it misbehaves in a way that is very hard to debug six weeks later.

    THE FAULT
The registration pack is a PDF a parent has to print, and the consent items for photographs, sun cream and outings are separate sheets of paper that go missing somewhere between the visit and the first morning.
    ONCE IT IS RUNNING
A tour request opening with the age band and the start date needed, a registration form recording each consent item separately and time-stamped, an all-about-me form completed before settling begins, and a survey at the end of settling where a low score raises a manager task.
    THE RETURN
If registration currently costs the office forty minutes of chasing per family and you enrol four a month, that is more than two hours back every month. The consent record is the part with no price attached until the day somebody asks you to produce it.

SPEC-03 // WHY THIS EXISTS

What this actually fixes

A childcare enquiry is one of the most emotionally loaded a family makes, and it is usually made at ten at night after the children are asleep. Answering it the next afternoon costs the enrolment.

The snapshot answers immediately with the right tone — warm, informative, never salesy — captures age, start date and days needed, and books the tour into a live calendar with everything the family needs to know beforehand.

The waitlist is the other half. Most enquiries cannot be enrolled immediately, and a family on a waitlist with no communication for three months has already enrolled elsewhere. Here they get scheduled updates, availability alerts and a genuine reason to stay.

The problems, named

  • Enquiries arrive at night and are answered tomorrowParents research after bedtime, and the setting that replies first gets the tour.
  • Booked tours are not attendedA missed tour is almost always a lost enrolment, and there is rarely a same-day recovery process.
  • Waitlists go coldThree months of silence while a family waits for a place is three months for a competitor to enrol them.
  • Reviews do not reflect the settingParents choose on reputation and most happy families are never asked to say so.

SPEC-05 // THE ARITHMETIC

Who it fits, and what it is worth doing

Every figure below is an illustrative scenario with its assumptions on show. Change them — the console is there so you can argue with our numbers using yours.

WHO IT IS FOR

  • Nurseries, preschools and childcare centres with a tour-led enrolment process
  • Settings with a waitlist they currently manage on a spreadsheet
  • Multi-site operators who need consistent enquiry handling across locations
  • Agencies serving early-years clients who need careful, warm messaging

WHO IT IS NOT FOR

  • Settings funded entirely through local authority placement with no direct enquiries
  • Childminders with one or two spaces and a personal referral network
  • Anyone needing attendance, ratio or billing software — that is a different tool entirely

If you are on this list, say so and we will tell you which snapshot fits — or that none of them do. A refund is more expensive for both of us than an honest sentence.

  • Rebranding the websiteLogo, palette, business details, service area, contact routes and the pages rewritten to the client rather than the demo. The site comes out looking like theirs, not like ours.
  • A2P / 10DLC registration and setupBrand and campaign filed, the consent language and opt-out handling wired to match what was filed, and the number attached once it clears. The step most installs stall on for a fortnight.
  • Email service setupDomain email integrated into GoHighLevel, sending domain authenticated, and a test send checked out of the account rather than assumed.
  • A few extra automations where they are neededIf the client works in a way the snapshot does not quite cover, we build the handful of automations that close the gap. Not a rebuild — the last few percent.

NOT ON IT — SEPARATE QUOTE

  • Third-party integrationsAnything that has to talk to a system outside GoHighLevel — a field service platform, a PMS, a booking engine, an accounting stack.
  • Third-party softwareLicensing, configuring or supporting tools that are not GoHighLevel. We will tell you what we would use; running it is a separate engagement.
  • Custom software developmentPortals, dashboards, middleware and apps built outside the platform. Real engineering, with a real spec and a real quote behind it.

The line does not move, in either direction. Inside GoHighLevel and inside the snapshot is on the work order and costs nothing. Outside the platform is scoped, quoted and agreed before anyone starts. If you want the inside-the-platform work every week rather than once, that is a dedicated GoHighLevel VA on a monthly rate, not a bigger install. That work lives at integrations and API work, or you can put a GoHighLevel VA on it monthly and stop quoting each piece.

Want to see it before you spend anything? Book thirty minutes and we will open the account live, run the customer journey and answer whatever the spec page left out.

IN THE BOX

Included with the snapshot

  • The snapshot and everything inside itImport problems, trigger logic, workflow branches, pipeline stages, calendar behaviour, custom values, template copy — if it shipped in the snapshot, it is ours to make work.
  • Adding to what is already thereWant two more automations on top of the set, a fifth reminder, an extra pipeline stage, a different cadence? That is a conversation, not a quote.
  • Tuning it to how the client actually worksRewiring branches, changing timings, re-scoping a sequence to a different service line. Adjustment inside the snapshot is part of owning it.

SCOPED SEPARATELY

Quoted, or run by a dedicated VA

  • Third-party integrationsAnything that has to talk to a system outside GoHighLevel — a field service platform, a PMS, a booking engine, an accounting stack.
  • Third-party API workCustom endpoints, webhook middleware, data sync jobs, anything that needs its own credentials, error handling and uptime.
  • Custom software developmentPortals, dashboards, apps and anything built outside the platform. Real engineering with a real spec behind it.

The line is simple and we hold it in both directions: inside the snapshot is included, outside the platform is scoped and quoted — or handed to a GoHighLevel VA on a monthly rate if you would rather it just got done. You always know which side of the line you are on before any work starts. The quoted route is integrations and API work; the retained route is a GoHighLevel VA.

SPEC-08 // QUESTIONS

Before you install Childcare Centre Snapshot

The three things agencies ask about this snapshot specifically.

General FAQ
Is the tone right for this sector?
It was the hardest part of the build. Every template is warm and informative with no urgency tactics, no countdowns and no scarcity language, because those things are actively wrong when a parent is choosing childcare.
How does the waitlist know when a place opens?
You mark availability by age room and the alert goes to matching families in waitlist order. It does not guess at capacity and it will not message a family about a room their child has aged out of.
What data does it collect about children?
As little as possible: age band, days needed and start date. Nothing clinical, nothing identifying beyond the parent contact record, and consent is captured on every form.
