Auto Repair Shop Snapshot — GoHighLevel snapshot

Independent auto repair runs on two numbers: bays filled and declined work recovered. This snapshot answers the booking call, fills the schedule, chases the work a customer said no to in March, and brings the car back at its next service interval.

SPEC-01 // WHAT IS INCLUDED

Thirteen channels, wired for auto repair & service

Every snapshot in the library lands the same thirteen things in the sub-account, and none of them is sold to you by the dozen. Nine of the thirteen are the system components; the other four are what those components run on. Here is each one in Auto Repair Shop language, with the problem it solves, what changes, and how it pays for itself.

MANIFEST // WHAT LANDS IN THE ACCOUNT

Every snapshot in the library ships these thirteen. We do not publish a count against any of them, because a counted promise is a promise and the honest answer is "as many as the trade needs, wired and tested". The receptionist and the chatbot are the exception — there is one of each, which is the client’s own wording and ours.

  1. CH-01

    1 AI Receptionist

    Capture

    SYSTEM COMPONENT 01AI Receptionist

The car that will not start this morning is the call an advisor cannot take, because they are under a bonnet with their hands full. This answers, works out whether the vehicle is drivable or needs recovery, takes the registration and the symptom, and books a diagnostic slot. A caller chasing a job already in the workshop is answered rather than transferred into a queue.

    • Establishes drivable or recovery in the first question
    • Takes registration and symptom before booking
    • Answers status calls without interrupting the workshop
    • Books diagnostics into a real slot, not a waitlist
    THE FAULT
The service advisor is also the switchboard, and at half past eight they are writing up three cars while the phone rings with a driver whose engine will not turn over. That caller drives to whichever garage picked up first.
    ONCE IT IS RUNNING
The line is answered while the counter stays busy: drivable or needs recovery settled first, then registration and symptom, then a diagnostic slot booked into a real bay rather than a waiting list. A driver ringing to ask whether the car is ready gets an answer, not a transfer.
    THE RETURN
Put your own write-up rush into it. If fifteen of fifty-five weekly calls ring out during it, and a recovered call converts at forty per cent on a $340 repair, that is roughly $800 a week before the declined work those cars arrive carrying.
  2. CH-02

    1 AI Chatbot

    Capture

    SYSTEM COMPONENT 03AI Chatbot

Most garage enquiries are a symptom described badly and a question about cost. This answers on the site and by text, takes the registration and the symptom, gives an honest diagnostic charge rather than a fictional repair estimate, and books the slot. Existing customers asking whether the car is ready get an answer without ringing the counter.

    • Takes registration and symptom in plain language
    • Quotes the diagnostic charge honestly, not the repair
    • Answers "is my car ready" without a phone call
    • Books the workshop slot in the same conversation
    THE FAULT
Most garage enquiries are a noise described badly and a question about cost, typed at nine in the evening. A site with a contact form and no numbers on it sends that driver to the fast-fit chain that publishes a price list.
    ONCE IT IS RUNNING
The assistant answers by web chat, text and Facebook with an honest diagnostic charge rather than an invented repair estimate, takes the registration and the symptom in plain language, tells an existing customer whether the car is ready, and books the bay inside the conversation.
    THE RETURN
Forty visitors a day with three per cent starting a chat is roughly eight conversations a week that previously ended in a closed tab. Two booked diagnostics a week, at your own conversion into repair work, clears the account cost inside the month.

SUBSTRATE — NO COMPONENT OF ITS OWN

Not one of the nine, and not decoration either. This is part of what the nine run on: get it wrong and every component above it misbehaves in a way that is very hard to debug six weeks later.

    THE FAULT
The recoverable money in an independent shop is invisible by design: authorisations waiting on a customer decision, quotes an owner is still thinking about, and declined items from March all live somewhere that is not a board anyone looks at.
    ONCE IT IS RUNNING
A workshop board that moves at the speed of a bay, an authorisation board for work waiting on a customer answer, and a declined-work board where every item carries its own follow-up horizon, because brakes get chased sooner than a set of tyres.
    THE RETURN
If thirty declined items accumulate each week at a $340 average, that is over half a million dollars of recorded work a year sitting on inspection sheets. A board that makes it visible only needs a small percentage to change the shape of the year.

SUBSTRATE — NO COMPONENT OF ITS OWN

Not one of the nine, and not decoration either. This is part of what the nine run on: get it wrong and every component above it misbehaves in a way that is very hard to debug six weeks later.

    THE FAULT
Somebody has to physically pick up a phone and ring the customer who postponed a brake job in March. The person qualified to do it is on the counter with three sets of keys in their hand, so it never happens.
    ONCE IT IS RUNNING
Automations do the calling: declined items worked on their own horizon with the job named rather than a vague reference to a recent visit, service and MOT reminders on the vehicle clock, authorisation chasers while the car is still on the ramp, and everything stopping on a booking.
    THE RETURN
Thirty declined items a week, three touches each, three minutes a touch is four and a half hours nobody currently spends. The hours are the small half. At a ten per cent recovery on $340 items you are billing a thousand dollars a week that did not exist.
  5. CH-05

Appointment reminders, confirmations and no-show recovery

    Booking

    SYSTEM COMPONENT 05Smart Appointment System

A booked slot in a workshop is a ramp that stays empty when somebody does not turn up. The confirmation says what time to drop off, whether a courtesy car is reserved and what to bring. Reminders at twenty-four hours, an hour and fifteen minutes, and the recovery call fires inside the hour so the ramp can be refilled from the waiting list.

    • Confirms drop-off time, courtesy car and paperwork
    • Reminders the night before, an hour out and at fifteen minutes
    • Recovery call inside the hour, so the ramp gets refilled
    • Reschedule in one tap without losing the slot entirely
    THE FAULT
Nobody drops the car off at eight, so the technician scheduled to strip it stands about until half nine. That hour cannot be recovered, and the waiting-list customer who would have taken it has already made other arrangements for the day.
    ONCE IT IS RUNNING
The confirmation states the drop-off time, whether a courtesy car is reserved and what to bring. Reminders at twenty-four hours, one hour and fifteen minutes, then a no-show fires a recovery call within the hour targeting seventy per cent, so the ramp gets refilled from the waiting list.
    THE RETURN
Forty-five bookings a week with four not arriving is four technician hours idle. Recover three, costed at your own labour rate plus the parts margin on an average $340 repair, and this channel alone earns back the account in most months.

SUBSTRATE — NO COMPONENT OF ITS OWN

Not one of the nine, and not decoration either. This is part of what the nine run on: get it wrong and every component above it misbehaves in a way that is very hard to debug six weeks later.

    THE FAULT
A warning light and an MOT reminder produce completely different urgencies, and a tyre price check is not really an enquiry at all until a number appears on the screen. One book-a-service button flattens all three into the same slow form.
    ONCE IT IS RUNNING
The paths split by urgency: an MOT and service booking path that takes the registration first, a diagnostic path built around a symptom, a tyre and fast-fit path where a published price is the entire conversion, and a fleet or trade account path that asks for vehicle count.
    THE RETURN
If a fleet path picks up four local businesses a year running six vehicles each on twice-yearly servicing, that is forty-eight bookings annually at your own trade rate. Model it on your own account values and it becomes a separate revenue line entirely.
  7. CH-07

    AI Studio website

    Capture

    SYSTEM COMPONENT 04Professional Website

A garage site that answers the questions asked in a search bar: separate paths for MOT, servicing, diagnostics and specific repairs, the makes you specialise in stated plainly, and a booking form that takes the registration first because that is the fastest thing a customer can give you. Service-area pages for the towns you draw from.

    • MOT, servicing, diagnostics and repair on separate paths
    • Specialist makes stated, because people search by make
    • Booking form takes the registration first
    • Town-level pages for the catchment you actually draw from
    THE FAULT
Drivers search by their make and their symptom, not by your company name, and a one-page site with an address and opening hours matches none of those searches. The driver ends up at the main dealer paying twice as much for the same work.
    ONCE IT IS RUNNING
MOT, servicing, diagnostics and specific repairs on separate pages, the makes you specialise in stated plainly because that is exactly how people search, town pages for the catchment you draw from, honest diagnostic pricing, and a booking form that asks for the registration first.
    THE RETURN
If a page for one make in one town brings four bookings a month at a $340 average, that page alone runs at roughly $1,300 of work monthly. Multiply across the makes you genuinely specialise in and the site stops being a brochure.
  8. CH-08

    Nurture campaign

    Nurture

    SYSTEM COMPONENT 02AI Outbound Caller

The single largest recoverable line in an independent garage is declined work, and it sits on a paper inspection sheet nobody reads twice. This dials the brake job that was postponed, the timing belt they wanted to think about, the tyres they would do next payday — each on its own horizon, each quoting the item by name rather than "your recent visit".

    • Declined items called on their own follow-up horizon
    • The call names the specific job, not the visit
    • MOT and service-interval reminders run on the same engine
    • Stops the moment the customer books or opts out

    SYSTEM COMPONENT 08Database Reactivation

Every garage has customers who stopped coming for no reason anyone can name — they moved, or the car went out of warranty, or they went to the fast-fit down the road once. Six months of silence starts a sequence built on the declined work already on their record and the service that is now overdue.

    • Six months without a visit starts the sequence
    • Built on recorded declined work and overdue services
    • Offers a health check and a re-quote, not a discount
    • Any response moves the vehicle back into the live list
    THE FAULT
The database holds two thousand vehicles and the workshop sees the same four hundred. The rest drifted off at some point nobody recorded, still carrying the declined work an advisor wrote on an inspection sheet eighteen months ago.
    ONCE IT IS RUNNING
Declined items are worked across message, email and a live AI call that re-presents the figure the advisor recorded rather than inventing a new one. Six months of silence starts a sequence built on that record and the service now overdue, offering a health check rather than a discount.
    THE RETURN
Two thousand vehicles on file, six hundred not seen in a year, one per cent returning for a $340 job is six repairs from a single pass. The declined work those cars carry is usually the larger half. Run it against your own recorded declines.
  9. CH-09

    Review automation

    Proof

    SYSTEM COMPONENT 06Review Harvesting

Collection plus two hours: the car is driving properly again and the invoice has stopped stinging. Asking at the counter puts an advisor in the position of asking a favour; asking two hours later asks a question the customer can answer honestly.

    • Two hours after collection, not at the counter
    • A satisfaction check runs before any public link
    • One tap each to Google and Facebook
    • Anything unhappy reaches the owner first

    SYSTEM COMPONENT 07Review Automation

Local search for a garage is decided almost entirely by review count and recency, and a regular customer is in three times a year. The cadence caps them at one ask every twelve months, times it to the service rather than the MOT, follows up once on another channel, and answers every review — including the one about a bill that came in higher than the estimate.

    • One ask a year per customer, however often they visit
    • Timed to the service visit, not the MOT
    • One follow-up three days on, by text rather than email
    • Estimate-overrun complaints escalate to a person
    THE FAULT
A driver choosing a garage scrolls the map listing and reads the three most recent reviews. Your regulars are in three times a year and would happily leave one, but nobody asks, because asking at the counter means asking while handing over a bill.
    ONCE IT IS RUNNING
The ask goes out two hours after collection, when the car is driving properly again and the invoice has stopped stinging. Each customer is capped at one request a year, timed to the service rather than the MOT, and an estimate-overrun complaint escalates to a person.
    THE RETURN
Five to ten a month is the target, on a profile that decides who gets the next breakdown call. Compare it against what you currently pay for a booked repair through paid search, since both kinds of driver land on the same map listing.
  10. CH-10

    Seasonal automation

    Retention

    SYSTEM COMPONENT 09Lifetime Nurture Campaigns

A car has a calendar and the customer does not read it. Service intervals, MOT expiry, seasonal checks before winter and before the summer holiday run — each goes out on its own clock with the vehicle named. The first repair is the transaction; the eight years of servicing after it are the business.

    • Service and MOT reminders on the vehicle's own clock
    • Winter and holiday-season checks offered ahead of demand
    • Ownership anniversary touch with the declined work re-quoted
    • Referral prompt after a large completed job
    THE FAULT
The service interval passes without comment, the MOT expiry arrives as a letter from the government rather than from you, and nobody is ever offered a check before a long summer drive. The car has a schedule and the driver does not read it.
    ONCE IT IS RUNNING
Reminders run on the vehicle rather than the contact: service intervals by date and by mileage, MOT expiry ahead of the date, winter checks before the first cold week and a road-trip check before the holidays, plus an ownership anniversary that re-quotes the declined work.
    THE RETURN
Eight hundred vehicles on file, a pre-winter check offer, three per cent booking at a $95 check and one in four of those finding real work at $340: the check pays for the campaign and the found work pays for the season.

Not one of the nine, and not decoration either. This is part of what the nine run on: get it wrong and every component above it misbehaves in a way that is very hard to debug six weeks later.

    THE FAULT
You raise the labour rate in January. The booking confirmation still quotes the old one, the assistant on chat answers with a third figure, and an advisor spends a fortnight apologising at the counter for a price the system promised somebody.
    ONCE IT IS RUNNING
Labour rate, diagnostic charge, MOT fee, courtesy car availability, collection and delivery radius, the declined-work follow-up horizons and the workshop opening hours are set once at the top of the account and read by every message a customer ever receives.
    THE RETURN
Repricing an account goes from an afternoon of hunting to a single field. For an agency running several garages that each move labour rates annually, that is a day a year per client and no driver quoted a rate you stopped charging months ago.

SUBSTRATE — NO COMPONENT OF ITS OWN

Not one of the nine, and not decoration either. This is part of what the nine run on: get it wrong and every component above it misbehaves in a way that is very hard to debug six weeks later.

    THE FAULT
Registration, make, mileage at last visit, MOT due date and the declined items themselves get split between the DMS and a paper inspection sheet, so nobody can pull the list of every car due an MOT next month with brake work outstanding.
    ONCE IT IS RUNNING
Registration, make and model, engine and fuel type, mileage at last visit, MOT and service due dates, warranty status, declined items with their recorded prices and dates, preferred technician and courtesy car eligibility are structured fields, and they are what drives every reminder.
    THE RETURN
The query that pays is every vehicle with declined work and an MOT falling due. If that list runs to a hundred and twenty cars and one in ten books both at a combined $400, one segment is worth roughly $4,800 of workshop time.

SUBSTRATE — NO COMPONENT OF ITS OWN

Not one of the nine, and not decoration either. This is part of what the nine run on: get it wrong and every component above it misbehaves in a way that is very hard to debug six weeks later.

    THE FAULT
Declined work only gets chased if it is recorded somewhere a computer can read, and an advisor scribbling that the customer declined brakes onto an inspection sheet at half four on a Friday guarantees nobody ever chases it.
    ONCE IT IS RUNNING
A short write-up form at handover captures each declined item with its price and its urgency, the booking form takes the registration first because it is the fastest thing a driver can give you, and the post-collection survey gates the review ask and flags an overrun early.
    THE RETURN
If a thirty-second form at handover captures thirty declined items a week that would otherwise vanish, and a tenth are eventually booked at $340, that is around a thousand dollars a week created purely by the act of writing them down.

SPEC-03 // WHY THIS EXISTS

What this actually fixes

Every independent shop is sitting on a list of jobs customers declined. The brake job someone postponed, the timing belt they wanted to think about, the tyres they would do next payday. Almost nobody follows up on any of it.

This snapshot does. Declined items are captured at write-up, tagged with a follow-up horizon, and worked with a message, an email and eventually a live AI call that offers to book it in.

The front of the system handles the calls a service advisor cannot get to while they are under a bonnet: booking, diagnostic scheduling, MOT and service-interval reminders, and the courtesy follow-up that makes a review request feel earned instead of demanded.

The problems, named

  • Declined work is never revisitedThe single largest recoverable revenue line in an independent shop, and it lives on a paper inspection sheet nobody reads again.
  • Advisors cannot answer the phone and work the counterCalls go unanswered during exactly the hours customers ring, and those customers book at the shop that picked up.
  • Service intervals depend on the customer rememberingThey do not. They come back when something breaks, which is usually somewhere else.
  • Review profile lags the competitionLocal search for a garage is decided almost entirely by review count and recency.

SPEC-05 // THE ARITHMETIC

Who it fits, and what it is worth doing

Every figure below is an illustrative scenario with its assumptions on show. Change them — the console is there so you can argue with our numbers using yours.

WHO IT IS FOR

  • Independent repair shops and multi-bay garages
  • Tyre, exhaust and fast-fit operators with high visit frequency
  • Shops with a service advisor who is currently also the switchboard
  • Agencies serving automotive clients who need a proven starting point

WHO IT IS NOT FOR

  • Franchised main dealers on a manufacturer-mandated DMS
  • Mobile mechanics with no fixed schedule to protect
  • Anyone needing parts ordering or workshop loading — that is a DMS job, not a CRM one

If you are on this list, say so and we will tell you which snapshot fits — or that none of them do. A refund is more expensive for both of us than an honest sentence.

  • Email service setupDomain email integrated into GoHighLevel, sending domain authenticated, and a test send checked out of the account rather than assumed.
  • A few extra automations where they are neededIf the client works in a way the snapshot does not quite cover, we build the handful of automations that close the gap. Not a rebuild — the last few percent.

NOT ON IT — SEPARATE QUOTE

  • Third-party integrationsAnything that has to talk to a system outside GoHighLevel — a field service platform, a PMS, a booking engine, an accounting stack.
  • Third-party softwareLicensing, configuring or supporting tools that are not GoHighLevel. We will tell you what we would use; running it is a separate engagement.
  • Custom software developmentPortals, dashboards, middleware and apps built outside the platform. Real engineering, with a real spec and a real quote behind it.

The line does not move, in either direction. Inside GoHighLevel and inside the snapshot is on the work order and costs nothing. Outside the platform is scoped, quoted and agreed before anyone starts. If you want the inside-the-platform work every week rather than once, that is a dedicated GoHighLevel VA on a monthly rate, not a bigger install. That work lives at integrations and API work, or you can put a GoHighLevel VA on it monthly and stop quoting each piece.

Want to see it before you spend anything? Book thirty minutes and we will open the account live, run the customer journey and answer whatever the spec page left out.

IN THE BOX

Included with the snapshot

  • The snapshot and everything inside itImport problems, trigger logic, workflow branches, pipeline stages, calendar behaviour, custom values, template copy — if it shipped in the snapshot, it is ours to make work.
  • Adding to what is already thereWant two more automations on top of the set, a fifth reminder, an extra pipeline stage, a different cadence? That is a conversation, not a quote.
  • Tuning it to how the client actually worksRewiring branches, changing timings, re-scoping a sequence to a different service line. Adjustment inside the snapshot is part of owning it.

SCOPED SEPARATELY

Quoted, or run by a dedicated VA

  • Third-party integrationsAnything that has to talk to a system outside GoHighLevel — a field service platform, a PMS, a booking engine, an accounting stack.
  • Third-party API workCustom endpoints, webhook middleware, data sync jobs, anything that needs its own credentials, error handling and uptime.
  • Custom software developmentPortals, dashboards, apps and anything built outside the platform. Real engineering with a real spec behind it.

The line is simple and we hold it in both directions: inside the snapshot is included, outside the platform is scoped and quoted — or handed to a GoHighLevel VA on a monthly rate if you would rather it just got done. You always know which side of the line you are on before any work starts. The quoted route is integrations and API work; the retained route is a GoHighLevel VA.

SPEC-08 // QUESTIONS

Before you install Auto Repair Shop Snapshot

The three things agencies ask about this snapshot specifically.

General FAQ
How does declined work get into the system?
Through a short write-up form the advisor completes at handover, or a tag applied from your inspection tool. Either way each declined item carries its own follow-up horizon so brakes are chased faster than tyres.
Can it quote?
It re-presents the figure the advisor recorded and offers a booking. It does not invent prices, and it will not discount without an explicit rule you set.
Does it integrate with our DMS?
Not out of the box — that is third-party integration work and gets quoted separately. The snapshot is complete and useful without it, and plenty of shops run it alongside their DMS rather than through it.
